Agenda Items
The individual topics on a meeting's agenda — actions to be taken, hearings to be held, information to be presented.
Item Types
Each organization is seeded with the following defaults at sign-up. Admins can rename, recolor, retire, or add types under Settings → Item Types — including changing whether a type is confidential, votes, or gets its own numbering sequence.
| Value | Label |
|---|---|
consent | Consent Calendar |
public_hearing | Public Hearing |
study_session | Study Session |
action | Action Item |
informational | Informational |
ceremonial | Ceremonial |
closed_session | Closed Session |
Consent Calendar items are routine matters grouped for a single vote. Any member can "pull" a consent item for individual discussion. Public Hearing items require a formal public-comment period before a vote. These are conventions of the seeded defaults — once an admin customizes a type, the renamed label is what shows in the UI, on PDFs, and on the public agenda.
Lifecycle
An item's state comes from two separate things:
- Approval state — based on the approver list: No approvers, Pending, Rejected, or Approved. See Approval Workflow.
- Outcome — a per-meeting record of what happened, set after the item is heard.
Outcomes
| Outcome | Meaning |
|---|---|
passed | Passed |
failed | Failed |
tabled | Tabled |
deferred | Deferred |
withdrawn | Withdrawn |
no_action | No Action Taken |
Each meeting–item link carries its own outcome — an item deferred from meeting A to meeting B has two separate records (deferred at meeting A; whatever happens at meeting B).
Publish Cycle
Items go public through a separate published copy. Publishing an agenda automatically creates that copy for every linked item that doesn't have one. Staff republish updates explicitly once the agenda is live.
Ceremonial & Closed-Session Items
These types skip the approver flow and are publishable immediately — no department or staff owner required.

Items Across Meetings
An item can attach to multiple meetings — useful when an item is deferred. Each meeting–item link tracks its own order, planned start time, and outcome.
